Reception

Reception desk

The reception desk will open 16:00 on Monday, July 28 and 7:30 on Tuesday, July 29 in the Entrance Hall. All the attendees are expected to go to the reception desk to pick-up your name tag and congress bag. A printed program booklet will be distributed to you in the congress bag at the reception desk. On-site registration is also available at the desk.

Opening Ceremony and Welcome Party

The opening ceremony will start 18:00 on Monday, July 28, followed by the welcome party in Room1.

Cloakroom is available for welcome party from 16:30 to 20:30 on Monday, July 28 at the entrance of Room#1. We can not keep any valuables. Leave your baggage in the hotel from Tuesday, July 29 to Friday, August 1. You can store your baggage in a coin-locker at hall lobby in the Sapporo Convention Center, but notice that the size is limited (the largest is H110 cm, W35cm, D50cm, 300JPY/day).

Banquet

On Aug 1, after the business meeting (18:00), shuttle buses take you from the venue to the banquet at Sapporo Beer Garden.

Presentation

Oral sessions

Lectures and symposia will be held in rooms 1, 2 and 3, each equipped with a high power DLP projector and a big screen (300” in room 1 and 170” in rooms 2 and 3). You can freely use a green laser pointer and an iPad timer. Oral presenters will be expected to use their own computers (Windows or Mac) for video projections. We will not have a PC reception desk at the convention center. Speakers are advised to go to the room where they will give talks, connect their PC to the projector, and test the projector by themselves well before the session starts.

Electric outlet
Type A outlets supply 100 volts AC in Japan; 50 Hz in eastern Japan (Tokyo – Sapporo), and 60 Hz in the west (Nagoya – Osaka). Do not forget to bring a converter / connector for your AC adaptor, if necessary.
Video connector and Monitor splitter
For video projection, up to 8 PCs can be connected to a multi-port splitter by cables with D-sub 15 pin connectors. No other video connectors can be used. Bring appropriate converter if necessary.
Sound / audio system
Microphones only. Those who wish to have their sound source played through speakers of the presentation room may connect their PC by stereo mini plug.

Poster sessions

The Main Hall will be open for poster presentations throughout the congress, and each presenter will have a one-hour time slot allocated for his/her presentation during the 4-hour poster session (14:30-18:30). Posters of the session 1 (Tue-Wed, PO-1xxx) can be set-up in the morning (from 08:30 Tue) and should be removed by the evening of the next day (before19:30Wed). Posters of the session 2 (Thu-Fri, PO-2xxx) can be set-up in the morning (from 08:30 Thu) and should be removed by the evening of the next day (before 17:00 Fri).

Poster boards and pins
A wide poster board (W: 1800mm x H: 1500mm) will be prepared for each poster. The panel size is shown the following figure. Pins will be provided. Velcro and adhesive tape are not suitable. No electric supply is available near the poster boards.

Official ICN2014 App for computers and mobile devices

A web-based searchable program for computers and mobile devices will be available through Internet (expected to open early July) . The service will be available in the convention venue via its Wifi connection. A concise brochure will be delivered on site for the general information and overview of the congress. Watch out for the announcement on our website shortly before the congress.

WiFi service

Bring your WiFi device for search and read the program. Free WiFi service is available in Main Hall and Room 1 without password. As the LAN capacity is limited, please connect one device at a time (either smartphone, tablet or PC) and save the traffic for other participants.

Student / Post-doc Mixer

Get together and drink, eat and chat at the Restaurant SORA in the convention center on 29 (Tue) evening. Tickets (JPY1,000 per person) can be purchased at the reception desk. Please send a mail to mixer.icn2014@gmail.com if you wish to join, so that we can easily prepare food / drink. Let us know your name, affiliation, position (student /post-doc), and special dietary requests (for vegetarians / vegans).

Twitter and Film Festival for neuroethology

Tweets on https://twitter.com/neuroethology will be shown on a 50” monitor placed in the Main Hall. Video clips contributed to Neuroethology will be played at Film Festival in room 4. Attend, tweet, come and watch.

Amenity services

Food/drink and Lunch

Light snacks and drinks will be served at coffee break twice a day (starting from 09:30 and 14:30). For lunch, participants are advised to go out. Cafés, restaurants (sushi, noodles, Chinese, Italian, and Japanese) and the Food Court in the “iias-Sapporo” super market are located within 5 min walk from the convention center. A variety of shops selling fruits, sandwiches and lunch boxes will be open 09:00-22:00, and the Food Court will serve fast-foods (sandwiches, noodles, Japanese rice bowls) between 11:00 – 21:00. In the convention center, Restaurant SORA serves lunch with limited seating (max 100 seats).

Taxi, subway and 1-day ticket

The convention center is located within a 10-min taxi drive from downtown Sapporo where most of the hotels are. The subway (Tozai line) connects between “Odori” station (downtown) and “Higashi Sapporo” station by 3 stops. One-day tickets can be purchased at a discount price (JPY 500) at the reception desk in the convention center. Ordinary tickets are also available at any subway stations. Post-congress tour

If you will be staying at Sapporo for 1-2 days after the congress, please consult our information desk at the convention center (JTB and Sapporo city). The following sites may be useful for finding short sightseeing bus tours.
